$70,309 – $80,610 plus 17% superannuation and annual leave loading

The Emotional Health Clinic (EHC) is the public-facing service of the Lifespan Health and Wellbeing Research Centre at Macquarie University. A world-renowned clinical treatment, training and research facility, the EHC specialises in understanding and managing anxiety and related mental health disorders across the lifespan.
Each year, the clinic delivers over 8,000 occasions of service to more than 1,000 clients through a suite of externally funded research trials, psychology student placements, and private client services delivered face-to-face, via telehealth and through digital health platforms.
As the first point of contact for the public, this role is central to the quality-of-service delivery and to the clinic's broader strategy of building clinical and research capacity in emotional, social and cognitive health and wellbeing.

About the Role
Within this role, you will provide front-desk reception and customer service that reflects the clinic's high standards. You will help ensure day-to-day continuity, consistency in client communication, and effective use of clinician time through the management of appointments and waitlists. Your key responsibilities include:
Providing front-desk reception services in line with the clinic's service standards.
Booking client appointments and maintaining the waitlist through the Practice Management System, escalating issues to clinic management as needed.
Allocating and matching new clients to suitable psychologists, clinic services or referrals.
Processing payments and claims in line with the clinic's billing and accounts procedures, including Medicare and health fund processing.
Preparing and maintaining electronic records and client documentation in line with clinic procedures, the University's privacy management plan and relevant legislation.
Responding to, or appropriately escalating, queries from clients, staff, visitors and members of the public.
Maintaining client areas, the kitchenette and utility room, and providing general administrative support for the clinic and its activities.

About You (Selection Criteria)
You are a professional and approachable individual who takes pride in delivering excellent customer service. You bring strong organisational skills, sound judgement, and the ability to handle sensitive matters with care and discretion in a fast-paced clinical setting.
Commitment to high-level customer service delivered in a professional manner, along with excellent interpersonal skills.
Excellent verbal and written communication skills, with the ability to build rapport and relate to clients.
Strong organisational skills, including prioritisation and effective time management.
Demonstrated ability to use initiative and handle sensitive matters appropriately.
Proficiency in Outlook, Word, Excel and web-based clinical systems.
Current or completed undergraduate study in psychology or a similar field, and previous experience in a comparable role (e.g. psychology practice or medical reception). (Desirable)
Understanding of confidentiality and the psychology Code of Ethics. (Desirable)
