    About This Opportunity 

    We are seeking a highly organised, proactive, and collaborative Executive Assistant to provide high-level administrative and executive support to the Associate Deans, the Faculty Executive Manager, the Executive Assistant and the Senior Executive Assistant within the Executive Dean’s portfolio. Reporting directly to the Senior Executive Assistant, this role will play a critical part in ensuring the smooth and effective operation of multiple portfolios, supporting up to five Associate Deans in a fast-paced and dynamic environment.

    As part of a small, high-performing office, you will join a close-knit team of five who work collaboratively, support one another and take pride in maintaining a positive and cohesive team culture. Responsibilities include liaising with a wide range of internal and external stakeholders, resolving issues efficiently, and supporting the day-to-day administrative functions of the office.

    Key responsibilities will include: 

    • Ensure the smooth running of the Associate Deans day-to-day work schedules.

    • Ensure the Associate Deans are briefed on relevant issues and background information in preparation for meetings.

    • Oversee the flow of information and administrative processes between the Associate Deans office and other areas.

    • Coordinate travel arrangements and assist others to create travel accounts.

    • Manage financial operations such as reimbursements, expense claims, etc.

    • Coordinate and provide administrative and/or secretarial support to relevant boards and committees.

    • Provide administrative and logistical support for faculty events.

    • Liaise with staff, students, external stakeholders and community members, handling a wide range of inquiries and initiating follow-up actions as required.

    • Any other duties commensurate with the position as reasonably directed by the Associate Deans or Senior Executive Assistant.

    About You

    • Completion of a relevant degree and/or substantial administrative and secretarial, executive or personal assistant experience at a large organisation or an equivalent combination of relevant experience and/or education/training.

    • Excellent interpersonal skills, including the ability to communicate effectively and respectfully with diverse groups within, and external to, the School and University.

    • High level of organisational skills, including the ability to prioritise competing work demands and meet deadlines, while maintaining accuracy and attention to detail.

    • Ability to work independently, use initiative, and demonstrate problem solving strategies while working in a team environment.

    • Excellent written communication skills with experience in preparing documents with a high level of accuracy.
