Why Your Role Matters:
This role plays a critical part in ensuring the success of the University’s Learning Management System (LMS) program, which underpins how learning is delivered, experienced, and continuously improved. As Project Coordinator, you’ll help bring structure, consistency, and momentum to a wide range of projects, ensuring that systems and processes are effectively maintained and aligned with strategic objectives.
UNSW is rolling out a new learning management system (LMS), approved in June 2026, as a major university-wide transformation by 2030. Delivered faculty by faculty and aligned with the 2028 Flex-Semester transition for early adopting faculties, it will reshape teaching and learning.
The LMS Program goes beyond technology, combining change, training, and engagement through a human-centred design approach. Joining now means contributing to a high-impact initiative with strong leadership and a multidisciplinary team.
Working at the centre of the LMS program, you’ll connect teams, stakeholders, and initiatives—making sure communication flows, priorities are coordinated, and projects are delivered smoothly. Your ability to engage both internal and external stakeholders will directly support the development and implementation of initiatives that elevate the University’s learning capabilities.

By supporting the delivery of high-quality LMS projects, you’ll play a key role in enhancing the University’s teaching and learning profile—creating better outcomes for staff, students, and the broader academic community.
Responsibilities Summary:
- Provide a high level of project support to the LMS team, including managing and coordinating project tasks, maintaining the LMS contact list, processing purchase requests, invoices and credit card reconciliations.
- Assist with developing and managing effective communications with program delivery streams, key stakeholders, both internal and external to UNSW, ensuring collaborative relationships are developed and maintained.
- Coordinate logistics for virtual and in-person events and meetings including scheduling, venue booking and organising catering.
- Produce reports on LMS activities and other performance metrics, as needed.
- Develop, implement and maintain appropriate systems, procedures and processes that support the delivery of LMS projects, in consultation with the LMS Program Director.
- Provide administrative support and monitor shared email accounts, being responsible for ensuring timely responses to all parties and excellent customer service is delivered.
- Liaise with suppliers, coordinate logistics and undertake procurement activities consistent with UNSW policy and procedure.
- Participate in and support other ad hoc LMS projects and any other duties as directed by the LMS Program Director or their delegated authority.
- Understand the full requirements of the project to define and manage necessary project resources.
- Be responsible for project schedules to ensure that necessary modules and programs are completed according to the project plan.
- Prepare agendas, minutes and meeting papers and presentations for Steering Committee, IT Steering Committee, Technical Advisory Group, and Business Advisory Group meetings as required. Also provide coordination and quality review of papers.
- Report on project budgets and monitor project financials and the realisation of defined project benefits.
- Establish and maintain effective working relationships with all stakeholders, including managing vendor contracts / agreements associated with projects.

- Cooperate with all health and safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the health and safety of yourself or others.

Skills and Experience Summary:
- Relevant tertiary qualifications and/or equivalent level of knowledge gained through a combination of education, training and/or experience in a similar role.
- Demonstrated experience in tracking and prioritising tasks when coordinating multiple tasks.
- Demonstrated experience in utilisation of project management methodologies (e.g. Agile or Waterfall).
- Well-developed interpersonal skills and ability to establish and maintain effective professional relationships as well as working collaboratively in a team environment.
- Strong organisational and time management skills, with experience in managing multiple tasks and conflicting deadlines, prioritising workload appropriately.
- Proven ability to work efficiently and with initiative to identify, analyse and resolve administrative issues ensuring effective outcomes and process improvements.
- Excellent communication skills with strong writing and editing skills with the ability to produce high quality of work accurately and efficiently.
- Demonstrated ability to work with minimal supervision and collaboratively within and across teams.
- Moderate level of computer literacy with sound skills in Microsoft Office applications, particularly, Outlook, Word, Excel, and PowerPoint, and some familiarity with Microsoft Project or similar application, including experience with SharePoint management, and website maintenance.
- An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
- Knowledge of health and safety responsibilities and commitment to attending relevant health and safety training.
