PRIMARY DETAIL

• Salary Package: From $108,391 to $117,519 (HEW Level 7), plus 17% employer’s superannuation contribution and annual leave loading.
• Appointment Type: Full time, fixed-term role for 2 years
• Location: Macquarie University, Wallumattagal Campus, Dharug land, North Ryde
• Hybrid working arrangement

We are seeking an experienced Senior Project Officer to support a student CRM (Salesforce) platform implementation Program. The role is an excellent opportunity to support the delivery of a key Program in Macquarie University’s digital transformation. You will report directly to the Release Manager and support the Program Manager, in a team implementing a new, consolidated, and secure student CRM platform that will allow effective connection to successfully support students throughout their education. 

  

Digital Transformation is one of the six fundamental commitments of the Macquarie University Operating Plan: to embrace emerging technologies to better connect, engage, and collaborate. The core focus of the University’s digital transformation strategy is enabling the objectives of Students First through five key focus areas, seeking to drive excellent experiences and outcomes in every dimension of students’ interactions with the University. 

 

The Student 360 (S360) Program will deliver a student CRM (Salesforce) platform that will realise our ambitions for end-to-end student engagement and service delivery, and allow the University to: 

  • Provide a unified, 360-degree view of each student that will enhance our ability to engage with them (including privacy protections and controls); 

  • Support the transformation of business processes, providing identification of opportunities for improved services to students and support service delivery; 

  • Enable context-specific services and personalisation to successfully support students throughout their journey; 

  • Provide a contemporary technology platform that can evolve with the changing needs and aspirations of the University and to truly connect with our students as individuals; 

  • Gain insights and analytics across the whole student journey, to provide better metrics and inform improvements of University services and experience; and  

  • Replace and decommission legacy systems. 

 

The Senior Project Officer role will: 

  • Support the Release Manager and Program Manager in ensuring the efficient and effective running of the S360 Program and successful delivery of its projects. 

  • Act as a primary contact point for Program-related queries, communicating effectively with both internal teams and external stakeholders to ensure alignment and support. 

  • Produce high-quality documentation, including meeting minutes, status reports, and RAIDD logs. Ensure all records are accurate and accessible to stakeholders.  

  • Schedule and organise Program steering committee and other governance forum meetings. Handle logistics including venue booking, agenda preparation, and distribution of materials. Take and circulate minutes and track actions. 

  • Monitor Program risks, issues, assumptions, decisions and dependencies (RAIDD), assisting in the development of mitigation plans and ensuring they are escalated where necessary. 

  • Manage Program financials by forecasting costs and supporting Program and Project Managers to ensure project resources are allocated effectively. Assist Project Managers with procurement processes and vendor management. 

  • Maintain Program document management, including access and administration, for consistency and high-quality. 

  • Ensure that Program activities are in line with IT policies, procedures, and governance frameworks. Support audits and quality reviews by providing accurate, up-to-date information. 

  • Oversee the Project Officer in the delivery of their responsibilities. 

 

About You 

  

You will have good understanding of project and risk management fundamentals, a clear understanding of the overall requirements for coordination and integration of information in a complex Program environment.  

 

You will have excellent verbal and written communications skills with demonstrated ability to convey information effectively to a wide range of stakeholders.

  • Tertiary qualification in a related field and/or equivalent knowledge, skills and experience with demonstrated commitment to ongoing professional development. 

  • Understanding of project management and risk management fundamentals. 

  • Experience working with one or more project management methodologies (such as Agile, PRINCE2). 

  • Demonstrated 3+ years’ experience in a similar role, with a clear understanding of the overall requirements for coordination, integration of information in a complex Program environment. 

  • Experience in developing reports and dashboards and use of reporting tools to generate actionable insights and informed recommendations. ·      

  • Strong analytical and numerical skills and attention to detail. 

  • Excellent verbal and written communications skills with demonstrated ability in developing and maintaining relationships with a wide range of stakeholders. 

  • Strong organisation and time management skills to prioritise and meet competing deadlines. 

  • Proficient in use of MS Office Suite, project management, and online collaboration tools.
