About the position

The School of Allied Health, Human Services and Sport (SAHHSS) at La Trobe University is a leading provider of training for a range of allied health professional disciplines in Victoria. An integral part of the practical learning in the disciplines of Speech Pathology, Podiatry and Orthoptics involves student-led Allied Health clinics delivered at the Bundoora campus of La Trobe University in dedicated facilities.

The primary function of the Allied Health clinics is to provide a supported environment for students to progressively develop clinical competencies, provide a high-quality service to the community (including some outreach to locations such as schools and other community organisations) and an active base for clinical research.

This position plays a crucial role in ensuring the efficient operation of the clinics by providing high-quality administrative support and exceptional customer service to clients, visitors, staff and students. As a first point of contact the Administration Officer plays a critical role in ensuring a welcoming experience for clients that is responsive and inclusive to all that access the service.

The position will be predominantly based at one of the clinic sites that provides Podiatry and Orthoptics services. There will be a requirement to provide support to the Speech Pathology clinic as required.

Flexibility in work hours will be required at certain times of the year to accommodate operational needs of the clinic. This role is required on campus 3 days per week.

This will include some evenings and possible weekends.

Duties will include but are not limited to:

  • Provide administrative support in all aspects of client appointment bookings, including processing client referrals, completion of any intake requirement as specified by each discipline, booking of support services for clients as required, processing payments, raising invoices and receipts
  • Provide administration and reception support as directed by the Manager Clinical Services and Operations.
  • Always ensure client confidentiality and privacy in compliance with state legislation, including managing and maintaining the clinic’s client data management systems and inputting client information as per clinic procedures.
  • Maintain and update information in the client waiting room and reception area to ensure a welcoming, inclusive and informative environment.

Skills and Experience

To be considered for this position, you will have:

  • Completion of a Diploma level qualification with relevant work-related experience; or completion of a Certificate IV with relevant work experience or an equivalent combination of relevant experience or on the job training.
  • Relevant work-related experience in a health clinic.
  • Superior interpersonal and communication skills, with the ability to interact effectively with a diverse range of clients, staff and students.
  • High level of attention to detail and accuracy in administrative tasks.
  • Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
  • High proficiency in using computer systems, including Microsoft Office Suite, and advanced scheduling systems.
  • Be able to work flexible hours, including some evenings and possible weekends, to accommodate the operational needs of the clinic and ensure comprehensive patient care and support.
