About the opportunity
As the Executive Assistant to the Chief Information Officer (CIO), you will provide high-level executive and administrative support, ensuring the efficient operation of the office. You will manage agendas and minutes for meetings, handle correspondence and records, oversee electronic diary management, coordinate travel arrangements, and organise events and hospitality. You will also lead the establishment and maintenance of office systems, policies, and procedures, recommending and implementing new practices to enhance efficiency.

Key Responsibilities:

  • Organise functions and events, manage correspondence and records, handle electronic diary management, travel arrangements, hospitality, and visitor services.
  • Coordinate office activities, liaise with internal and external organisations, maintaining confidentiality and sensitivity.
  • Develop submissions for funding applications and departmental reviews.
  • Assist with budgeting and financial planning.
  • Obtain research material, assist with special projects, and prepare briefing papers.
  • Respond to complex and detailed enquiries using judgement and initiative.
  • Provide authoritative advice and information on a range of matters for the Division.
  • Maintain awareness of general issues in the higher education sector.
  • Ensure adherence to relevant legislation and University policies, including the Code of Conduct and Safety and Health Policy.

About you
To be successful in this role, you should have a relevant tertiary qualification or equivalent competency, along with substantial administrative experience at an appropriate level, including information management. You must be proficient in computing skills, including shared electronic diaries, email, word processing, spreadsheets, presentations, and organisational systems. Maintaining confidentiality and exercising discretion and sound judgment is crucial. You should possess highly developed organisational skills with the ability to prioritise and meet deadlines. The ability to work independently, show initiative, multitask, and lead and work productively as part of a team is essential. Additionally, excellent written and verbal communication skills, including strong interpersonal skills, are required.

Note: Provision of a Current National Police Clearance will be required for the successful applicant.
