Why Your Role Matters:
As the Senior Project Officer, you will play a key role within the Student Experience Program in providing practical and efficient project support for project teams and key stakeholders.

The role entails providing project coordination and support, gathering data and documenting the current state, reporting and analytical support, developing communications, building key internal and external relationships, consultation with faculty teams and providing administrative support for key the assigned program.

The role reports to the Project Manager within Student Experience Program.

The role has no direct reports but may do so in the future.

Responsibilities:

  • Support the delivery of the Student Experience program to achieve operational and strategic goals.
  • Support the development of project plans and schedules and participate in planning processes as required.
  • Monitor, track and report on the status of project deliverables to ensure time, cost and quality metrics are in line with approved project plans for assigned projects.
  • Provide practical and proactive project support and administrative services to project team and stakeholders.
  • Assess and monitor project risks and issues and provide solutions where applicable.
  • Coordinate project administration including coordination of workshops and meetings, minute taking, manage assigned actions and follow-ups and project status reporting.
  • Develop and manage effective communications with key stakeholders, both internal and external to the project.
  • Support adherence to UNSW governance pathways to ensure projects are managed within a defined, consistent and proven set of rules for project development.
  • Extract data from systems (via front and back ends) and summarise in cohesive format
  • Prepare process maps and other documentation for current administrative processes across the university (central and faculty).
  • Conduct meetings and workshops with stakeholders in order to understand and document the current state.
  • Utilise collected data to undertake process mapping and analysis, and provide recommendations for the proposed solution.
  • Identify issues, risks and benefits of existing and proposed solutions.
  • Contribute to a culture of continuous process improvement by ensuring that the solutions are embedded into the University.
  • Support the change management and training to understand the impacts of changes in business processes, system requirements and functionality.

Skills and Experience Summary:

  • Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
  • Significant project coordination experience, including a strong understanding of the project lifecycle and development of project plans, objectives and documentation.
  • Demonstrated project management skills including excellent time management, planning and organisation, a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
  • Experience working with a range of computer systems and applications, including University administration systems and Microsoft Office.
  • Sound stakeholder management skills, with the ability to liaise effectively with a range of stakeholders.
  • Excellent written and verbal communication skills, with a high level of attention to detail for deliverables produced.
  • Previous experience working within the Higher Education sector is highly desirable.
