About This Opportunity 

To perform a range of project administrative and coordination activities to support efficient delivery of built environment projects and to provide general administration support to the Project Delivery Project Managers. The role will sit within the Project Management Office and work with a team of Project Managers and Project Officers, so good communication and collaboration skills are essential.

 Key responsibilities include: 

  • Managing daily Project Delivery administrative functions including but not limited to contractor access, fire isolations, security, works notices, keys, and generally provide overall support to the Project Delivery Project Managers.

  • Establish and maintain effective relationships with members of the Project Delivery Section and other Divisions. Ensure open lines of communication and seek relevant input and feedback where necessary.

  • Coordinating and administering meetings, including issuing of minutes.

  • Assisting Project Managers with schedules, deadlines, budgeting and status reporting.

  • Manage aspects of invoicing requirements including processing, raising requisitions and monitoring approval process to ensure accurate and timely payment.

  • Coordinating other UQ stakeholders for site inspections/walkthroughs.

  • Prepare and provide documentation to internal teams and key stakeholders.

  • Document and data management/control.

About You

  • Completion of administration related Degree with subsequent relevant experience as a Project Administrator on built environment projects or similar role; or an equivalent combination of relevant experience and / or education / training.

  • Knowledge of building and construction methodologies as applied to buildings and building services (and awareness of the general project lifecycle.

  • Sound computing skills including proficiency with Microsoft Office Suite, MS Project and Aconex.

  • Hands-on experience with technical documentation and schedules

  • Demonstrated analytical and problem-solving skills in routine administration duties.

  • The ability to work with a degree of autonomy and demonstrated organisational and time management skills in meeting strict deadlines whilst maintaining a high level of quality and consistency.

  • Ability to adapt readily to working across different built environment projects simultaneously in a fast-paced environment

  • High level of communication (both oral and written) and interpersonal skills and the ability to work with people at all levels

What We Can Offer 

This is a full-time, fixed term position for 6 months at HEW level 5. There will be the possibility for further extension upon consideration at the end of the appointed term.

The full-time equivalent base salary will be in the range $70,796 - $78,852, plus super of up to 17%. The total FTE package will be in the range $82,832 - $92,257.
